Youth Sports Travel Agent for Teams, Clubs & Tournaments

Sports travel starts with your team's schedule. I'm Joshua A Robertson, and I help coaches, team managers, sports parents, clubs, and tournament coordinators plan tournament trips — from hotel stays to transportation and family travel. I'm based in Contra Costa County and plan online with teams across Northern California and the U.S.

Youth Tournament Travel

An early warm-up, multiple venues, or a bracket that changes after each game can shape the whole trip. I start with your tournament dates, venue locations, check-in requirements, and expected player and family counts. Together, we separate confirmed details from the parts of the schedule still to come.

For hotel stays, I research distance to the fields or courts, room configurations, and room-block options. If your event has a stay-to-play policy or requires a particular booking channel, we review those rules before exploring arrangements. Hotel rates, room availability, deposits, and cancellation deadlines are supplier-specific — and early check-in is a request, not a guarantee.

Transportation, flights & equipment

I help compare ground transportation options between the hotel, venues, and airport. For longer trips, we can explore flights and review arrival times, baggage rules, and sports-equipment requirements. Passenger numbers, driver arrangements, and venue parking all matter when deciding between transfers, a charter bus, or rental vehicles.

Family logistics, meals & changes

Parents and siblings may need different rooms, departure dates, or downtime between games. I help align those needs with the team's plans and explore meal reservations around competition times. When a schedule changes, I help review what can be adjusted with suppliers; extra costs and availability limits may apply. Coaches and parents remain responsible for player supervision and team decisions.

Local roots, online planning

From the East Bay to Tournaments Nationwide

Many of the families and clubs I talk with are in Contra Costa County and the greater East Bay — Pittsburg, Antioch, Concord, Pleasant Hill, Brentwood, Oakley and nearby communities. Brighter Star Travel has no storefront; all planning happens by phone, video and email, so teams elsewhere in the country plan the same way.

Drive-to events in Northern California

For weekend tournaments within driving range, the big decisions are usually hotel location, check-in timing, and whether families drive themselves or the team shares a charter bus. I help compare those options against the schedule, budget, and number of travelers.

Out-of-state and national tournaments

When a team needs to fly, I compare departure airports, arrival times, and equipment baggage rules for players and families who may leave from different places. Bay Area travelers often have several airport options; read more on my East Bay travel advisor page.

Who I Help With Youth Sports Travel

Coaches & Team Managers

Bring your roster estimates, game schedule, budget, and a designated team contact. I help organize travel options, rooming requirements, and supplier deadlines so you can review arrangements with your organization. We clarify who approves bookings and who pays each cost before moving ahead.

Sports Parents & Families

Whether you're traveling with one player or bringing siblings, I help research accommodation and transportation that fit your family's needs. Share accessibility needs, room preferences, and different arrival dates early so we can consider them alongside the team schedule.

Clubs & Teams

For clubs sending multiple teams or age groups, I help coordinate shared travel requirements while keeping each team's schedule in view. For broader organization trips, explore my group travel planning service.

Tournament Coordinators

If you organize an event and visiting teams ask about travel help, I can talk with teams that choose to plan with me and keep their arrangements within your hotel or stay-to-play rules. I'm not a tournament operator or an official housing bureau, and any working arrangement would be discussed and agreed in advance.

Before you sign anything

Choosing a Youth Sports Travel Agent or Company

Whether you work with me, a larger youth sports travel company, or book on your own, these questions help a team avoid surprises:

  • Who signs the hotel room-block contract, and who is responsible if fewer rooms are used than promised?
  • Does the tournament require a stay-to-play hotel or a specific booking channel?
  • How will each family pay, and what are the deposit and final-payment dates?
  • What happens to reservations if the team doesn't qualify or is eliminated early?
  • Who do coaches and parents contact if travel plans change during the trip?
  • What fees apply, and how is the planner compensated?

With me, you work with one advisor from the first call through the trip. Brighter Star Travel operates through host agency Archer Travel, and I'm not affiliated with any league, tournament or team — so recommendations come from your schedule and budget, and we review every supplier's terms together before booking.

Sports Travel Planning FAQ

What information do you need to start planning team travel?

Share the tournament name and venue, travel dates, departure location, estimated player and family counts, room needs, budget and team contact. Let me know about equipment, accessibility needs and any tournament-required hotels. A preliminary schedule is useful even if game times are not final.

How far ahead should a team plan tournament travel?

Start as soon as your tournament dates and likely attendance are known. Busy weekends can limit hotel and transportation options, so earlier planning gives us more time to research. If qualification or game schedules are still pending, I can help compare options and their cancellation terms; availability and prices can change.

Can families travel alongside the team's arrangements?

Yes. I can help coordinate parents, siblings and other accompanying travelers alongside team arrangements, including different room needs or arrival dates. We will clarify which costs and reservations belong to the team and which families handle separately, subject to supplier availability and tournament rules.

What transportation and accommodation planning can you support?

I can research hotel stays and room-block options, flights when needed, airport transfers, charter buses and rental vehicle options. Planning considers venue distances, passenger counts, equipment and game times. Rates, room blocks, seating, early check-in and vehicle availability depend on the provider; I review the applicable terms with you before booking.

Do you only work with Northern California teams?

No. I'm based in Contra Costa County and work with many East Bay and Northern California families and clubs, but Brighter Star Travel is an online business. I plan by phone, video and email with teams anywhere in the United States, whether the tournament is a short drive away or across the country.

Is there a fee for youth sports travel planning?

Your first consultation is a free 20-minute phone call. Fees, if any, depend on the trip and the amount of coordination involved. I'll explain any fees and how I'm compensated before you commit to anything.

Are you affiliated with any tournaments, leagues or teams?

No. Brighter Star Travel is an independent travel advisor operating through host agency Archer Travel. I'm not affiliated with or endorsed by any tournament operator, league, governing body or professional team, and I don't sell exclusive tickets. When an event has its own hotel or stay-to-play rules, we plan within them.

More Ways to Plan Your Sports Trip
